Session 5.1- Settings

HR settings enable you to setup Categories, Departments, Banks, Pension provider and many more for you company.

Categories: Categories helps you to group your staff. The following steps apply to setting up a category;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Categories'.
  5. Click 'Create New'.
  6. Enter the name of the category and click 'create'.
Edit Category: This allows you to make changes to a category you have already created. The following steps apply to editing a category;

  1. Logon to www. swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Categories'.
  5. Click on 'Create New'.
  6. Search for the category and click on 'Edit'
  7. Make the desired changes and click on 'Save'.
Delete Category: This allows you to delete a category you have already created. The following steps apply to deleting a category;
  1. Logon to www. swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Categories'.
  5. Click on 'Create New'.
  6. Search for the category and click on 'Delete'.
  7. Confirm action by clicking 'Ok'.

Departments: Departments helps you to create departments for your company staff. The following steps apply to setting up a department;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Department'.
  5. Click 'Create New'.
  6. Enter the name of the department and click 'create'.
Edit department  : This allows you to make changes to a department you have already created. The following steps apply to editing a department ;

  1. Logon to www. swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Department'.
  5. Click on 'Create New'.
  6. Search for the department and click on 'Edit'.
  7. Make the desired changes and click on 'Save'.
Delete department : This allows you to delete a department you have already created. The following steps apply to deleting a department ;
  1. Logon to www. swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Department'.
  5. Click on 'Create New'.
  6. Search for the category and click on 'Delete'.
  7. Confirm action by clicking 'Ok'.

Banks: Banks helps you to create banks for your company staff. The following steps apply to setting up a banks;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'banks'.
  5. Click 'Create New'.
  6. Enter the name and code of the bank and click 'create'.
Edit Bank : This allows you to make changes to a Bank you have already created. The following steps apply to editing a Bank;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Bank'.
  5. Click on 'Create New'.
  6. Search for the Bank and click on 'Edit'.
  7. Make the desired changes and click on 'Save'.
Delete Bank : This allows you to delete a Bank you have already created. The following steps apply to deleting a Bank;
  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Bankt'.
  5. Click on 'Create New'.
  6. Search for the category and click on 'Delete'.
  7. Confirm action by clicking 'OK'.

Designation: This helps you to create designation for your company staff. The following steps apply to setting up a designation;

     1. Logon to www. swift.ng.

     2. Click on 'HR'.

     3. Click on 'Settings'.

     4. Click on 'Designation'

     5. Click on 'Create New'

     6. Enter the name of the designation and click 'create'.

Edit Designation : This allows you to make changes to a Designation you have already created. The following steps apply to editing a Designation;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Designation'.
  5. Scroll down.
  6. Search for the Designation and click on 'Edit'.
  7. Make the desired changes and click on 'Save'.
Delete Designation : This allows you to delete a Designation you have already created. The following steps apply to deleting a Designation;
  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Designation'.
  5. Scroll down.
  6. Search for the designation and click on 'Delete'.
  7. Confirm action by clicking 'Delete'. 

Groups: This helps you to group your staff. The following steps apply to setting up a Group;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Group'.
  5. Click 'Create New'.
  6. Enter the name and location of the Group and click 'create'.

Edit Group: This allows you to make changes to a Groups you have already created. The following steps apply to editing a Groups;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Groups'.
  5. Search for the category and click on 'Edit'
  6. Make the desired changes and click on 'Save'.
Delete Group: This allows you to delete a group you have already created. The following steps apply to deleting a group;
  1. Logon to www. swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Groups'.
  5. Search for the category and click on 'Delete'.
  6. Confirm action by clicking 'Delete'.

Send Message: This allows you to send group (categories) text/e-mail message to your staff. The following steps apply to sending of group messages;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Send Message'.
  5. Type in the Subject if it is e-mail, leave blank if it is sms, select recipients and type in your message
  6. Click on 'Send'

Excel Uploads:This allows you to upload documents. The following steps apply to uploading excel documents;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'
  4. Click on 'Excel'.
  5. Click on 'Browse' to select the document you want to upload.
  6. Click on 'Upload Excel Sheet'.

Reports: The following steps apply to viewing a report;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'
  4. Click on 'Reports'
  5. select your desire.

Grading: this helps you to create grade for your company staff. The following steps apply to setting up a Grade;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'
  4. Click on 'Grading'
  5. Click on 'Create New'.
  6. Enter the name and annual tax
  7. Click on 'Create'

Edit Grading: This allows you to make changes to a Grade you have already created. The following steps apply to editing a Grade;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search for the category and click on 'Edit'
  6. Make the desired changes and click on 'Save'.
Delete Grading: This allows you to delete a grade you have already created. The following steps apply to deleting a grade;
  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search for the category and click on 'Delete'.
  6. Confirm action by clicking 'Delete'. 

Grade Steps: This allows you to add Steps to your grade.
The following steps apply to adding steps to grade;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search and click on 'Grade'
  6. Click on add 'Add New Step'
  7. Enter the step name, Annual Gross Pay, Annual Tax, Annual Basic Pay
  8. Click on 'Create'.

Edit Grade Steps: This allows you to make changes to a Steps you have already created. The following steps apply to editing a Step;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search for the grade and click on it.
  6. Search for the step and click on 'Edit'
  7. Make the desired changes and click on 'Save'.
Delete Grade Steps: This allows you to delete a grade step you have already created. The following steps apply to deleting a grade step;
  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search for the grade and click on it.
  6. Search for the step and click 'delete''
  7. Confirm action by clicking 'OK'.

Setup Grade Steps: This allows you to setup each grade step. The following steps apply to setting up grade step;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search for the grade and click on it.
  6. Search for the step and click on it.
  7. Enter the Salary Item, Percentage = 0, select category, Amount, Count = 1, select if tax is relief or not
  8. Click on 'Add Record'.

Grade Salary Setting: This allows you to setup the grade (where you can add earnings or deduction for all members of the same grade level).

The following steps apply to grade setup;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search and click on the 'Grade'
  6. Click on 'Set Up this Grade'
  7. Enter the Salary Item, Percentage = 0, select category, Amount, select if tax is relief or not
  8. Click on 'Create'.

Edit Grade Salary Setting: This allows you to make changes to a grade set up you have already created. The following steps apply to editing a grade set up;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search for the grade and click on it.
  6. Search for the grade set up and click on 'Edit'
  7. Make the desired changes and click on 'Save'.
Delete Grade Salary Setting: This allows you to delete a grade step up you have already created. The following steps apply to deleting a grade set up;
  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Search for the grade and click on it.
  6. Search for the grade set up and click 'delete''
  7. Confirm action by clicking 'delete'.

Deductions/Allowances: This allows you to setup individual deductions/allowances. First you create Beneficiaries, The following steps apply to setting up Beneficiaries;

Logon to www.swift.ng.

  1. Click on 'HR'.
  2. Click on 'Settings'.
  3. Click on 'Grading'.
  4. Click on 'Deductions/Allowances'.
  5. Click on 'manage beneficiaries'
  6. Click on 'Create New'
  7. Enter the Name and click on 'Create'

Edit Beneficiaries: This allows you to make changes to a Beneficiaries you have already created. The following steps apply to editing a Beneficiaries;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Click on 'Deductions/Allowances'.
  6. Click on 'manage beneficiaries'
  7. Search for the beneficiaries and click on 'Edit'.
  8. Make the desired changes and click on 'Save'.

Delete Beneficiaries: This allows you to delete a Beneficiaries you have already created. The following steps apply to deleting a Beneficiaries;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Click on 'Deductions/Allowances'.
  6. Click on 'manage beneficiaries'
  7. Search for the beneficiaries and click on 'Delete'
  8. Confirm action by clicking 'Delete'.

Deductions/Allowances:
The following steps apply to setting up Deductions/Allowances;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.    3. Click on 'Settings'.
  3. Click on 'Grading'.
  4. Click on 'Deductions/Allowances'.
  5. Click on 'Create New'.
  6. Enter the Month, Year, Staff Number, Narrative, Amount, Select the type (Earning or Deduction), and select beneficiaries.
  7. Click on 'Create'.

Edit Deductions/Allowances: This allows you to make changes to a deductions/allowances you have already created. The following steps apply to editing a deductions/allowances;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Click on 'Deductions/Allowances'.
  6. Search for the deduction/allowances and click on 'Edit'.
  7. Make the desired changes and click on 'Save'.

Delete Deductions/Allowances: This allows you to delete a deductions/allowances you have already created. The following steps apply to deleting a deductions/allowances;

  1. Logon to www.swift.ng.
  2. Click on 'HR'.
  3. Click on 'Settings'.
  4. Click on 'Grading'.
  5. Click on 'Deductions/Allowances'.
  6. Search for the deductions/allowances and click on 'Delete'
  7. Confirm action by clicking 'Delete'.
